Move bills

You can move bills from one account/meter to another account/meter in the Accounts module using the bills tab.

If you report on Cost Avoidance and move bills, you must reprocess Cost Avoidance for the affected meters.

When to move bill

  • The utility vendor changes the account number and a new account is created without realizing one already existed. (The preferred option is to update the account number.)
  • A bill is accidentally placed on the wrong account or meter.
  • Separate meters are being combined.
  • Correct the GL information while leaving the bills on the same meter. If you move bills to the same meter, you can align the GL information.

Should you update the GL Records?

  • NOIf the bills are exported, move the bills to a different account/meter and don't update the GL Records.
  • YESIf the bills haven't been exported and you want to adjust your bills to the proper GL Record for payment.

Destination account drop-down

  • Limited to accounts determined by your assigned top most cost center.
  • Accounts (including accounts with different vendors) with meters matching all the commodities on the source bill.

Destination meter drop-down

  • Drop-down is displayed for each commodity on the source bill.
  • You can only select one destination meter per commodity. (If multiple meters of the same commodity exist for the account, all the meters are moved to the destination meter. To move only one of the meters it is recommended to use a bill import file.)
  •  All line items for a commodity are moved to a single meter on the destination account.
  • For example, if your source bill has two electric meters, the body lines from both meters are moved to a single electric meter on the destination.

Steps for moving bills

  1. From the bills tab of the Account, select the bills to move or select ALL the bills on the list.
  2. Select More Actions and then Move Bills.
  3. Select the destination account from the drop-down or search for the account. 
  4. Select the destination meter from the drop-down.
  5. Select update the Meter GL Record or Account GL Record if needed. If you are using GL information, it is most often the meter GL. There is no harm in checking these boxes if you do not use GL information.
  6. If you subscribe to CarbonHub, decide if the GHG information needs updated.
  7. Select Move.
