User roles and permissions
EnergyCAP version 7 is full of new features. One example—User Management—is now smarter, with more available roles and application permissions allowing you to precisely configure each user’s access.
Why new user roles and permissions?
You asked and we listened! These new features are the result of requests from a variety of clients and provide more flexibility and granularity with user management and application access. We also wanted to make roles and permissions easier to understand—so we have added descriptions into EnergyCAP for every default role and permission.
How does a user get access to features in EnergyCAP?
In EnergyCAP version 7, every user is assigned to a user role and they receive the permissions associated with their respective role. If you want to make changes to a user’s access, you can either assign the user to a different user role or update the access associated with their assigned user role.
What happens when I log into version 7 for the first time? Will my access change?
Any users assigned to standard roles in EnergyCAP v3 (roles that were provided by EnergyCAP as default options in the database) will be automatically assigned to a corresponding version 7 user role with similar, but not identical, permissions when they first log into version 7.
If a user was previously assigned a “custom” set of permissions or a user-configured role in version 3 or the installed client, then they will be automatically assigned to the new version 7 DEFAULT ROLE. This role provides limited access. A system administrator can both create new custom roles and reassign users to version 7 user roles at any time.

New Permissions in EnergyCAP Version 7
Many new permissions have been added to EnergyCAP version 7 to help clarify user access.
Creating New Users and Using new Roles
It is recommended all new users are created in version 7. To expedite creating multiple users, a new setup spreadsheet for creating users has been added to version 7.
- Any users created in v7 using the provided user roles (referenced above) will be granted similar permissions in v3.
- If a user is created in v3 using a standard v3 role, they will automatically be converted to a similar v7 role upon first login. Any users created in v3 using a custom role will be given the DEFAULT ROLE in v7. An administrator can update a user’s role at any time.

Custom roles can be created by a system administrator.
If I change a user’s role in EnergyCAP version 3, what happens to their permissions in version 7?
Any changes made to an existing user’s role in version 3 does NOT impact the user’s role/permissions in version 7. The permissions between version 3 and version 7 are separate—this provides flexibility to a system administrator. For instance, a user can be updated to a read-only role in version 3 after their organization has begun using version 7 for all processing.
If I change a user’s role in EnergyCAP version 7, what happens to their permissions in version 3?
