What report to use

Last updated May 11, 2026

Use this guide to quickly find the right report for your task. Reports are grouped by what you want to accomplish. Click any report name to go to its full help page.

An Energy Management Report Guide and an Accounting Report Guide are also available as downloadable PDFs with additional tips for setting filters.

Setup and data audit

Use these reports to review your EnergyCAP configuration or check for missing and incorrect data.

What do you want to see? Best report Notes
A complete list of all accounts, meters, sites, vendors, and GL codes in one place Report-03
(Setup Report)
Excel only. Use to spot missing or incorrect information across your utility data. Add the Account is active filter to limit results to active accounts only. Blank account columns indicate meters not connected to an account.
Floor area for all sites Report-03
(Setup Report)
Floor area is in the Sites section. Click the + icon above the buildings column group to show all site detail columns including floor area. Use Report-45 for emissions data—not Report-03.
All inactive meters or meters without accounts Report-03
(Setup Report)
Report-03 includes both active and inactive meters. Rows with blank account columns are meters not connected to an account.
Bills with missing data, exceptions, or audit flags Report-16
(Bill Audit)
Use to review bills that have been flagged during the audit process. Filter by flag type or date range to focus your review.

Missing and problem bills

Use these reports to find gaps in billing coverage or overlapping bill dates.

What do you want to see? Best report Notes
Meters with missing bills (gaps in billing) Report-17
(Missing and Overlapping Bills)
Shows gaps where expected bills are missing and overlaps where bill date ranges conflict. Run the Gap only version to focus on missing bills. Use a topmost place or date range filter to limit results.
Meters with overlapping bill dates Report-17
(Missing and Overlapping Bills)
Run the Overlaps version to find bills whose date ranges overlap. Overlaps can cause double counting of use and cost.
Bills that match gap or overlap conditions

Report-17

(Missing and Overlapping Bills)

Run the Gaps and Overlaps version to review both types at once.
A bill reproduced in the familiar utility bill format Report-09
(Bill PDF)
PDF only. Recreates bills in a format similar to how they appear in EnergyCAP, with charts for use, cost, and unit cost. Report-09a generates chargeback bill PDFs. Limited to 1,000 pages per run.
Missing expected bills (overdue bills) Report-33
(Overdue bills Excel only)
Uses billing frequency, anticipated bill creation date, and anticipated statement date found on the account properties page to determine when a bill should be received and whether it is missing.
Anticipated bills not yet processed Report-34
(Anticipated Bills not yet Processed)
An Excel report to help you identify current anticipated bills not yet processed based on historical trends.

Cost analysis

Use these reports to understand utility spending by site, commodity, vendor, or time period.

What do you want to see? Best report Notes
Cost or use trends by month across multiple years for one object (site, meter, cost center) Report-01
(Monthly Trends—Year to Year)
Displays a line chart plus data table. Best for identifying seasonal patterns or year-over-year changes for a single object. Use calendarized data for cost comparisons.
Cost or use compared across two to five years for multiple objects Report-06
(Year-over-Year Comparison)
Data table with red/green arrows showing percentage change. Up to five years of data. Use calendarized data for cost and normalized data for use to remove weather as a variable.
Monthly cost or use for multiple objects in a single year Report-08
(Monthly Trends—One Page per Year)
Line chart and data table comparing similar objects (sites, meters, cost centers) across one year. Good for comparing how sites perform relative to each other. Report-01 compares one object across years; Report-08 compares multiple objects within one year.
A ranked list of sites or meters by cost or use (highest to lowest) Report-02
(Ranking Report)
Ranks objects by cost, use, unit cost, or cost/use per area or per day. Use the Group by filter to set what is ranked (meter, site, etc.). Good for identifying top energy consumers.
A summary of use and cost broken out by commodity Report-04
(Summary by Commodity)
Summarizes use, cost, and demand across all selected objects by commodity type. Good for portfolio-level commodity spending summaries.
Monthly cost or use totals side by side for a selected month and year Report-21
(Monthly Comparison)
Compares the same period across objects. Useful for building-manager-level monthly reviews.
A monthly summary for a building manager showing use, cost, and key metrics Report-22
(Monthly Building Manager Report)
Designed for facility or building managers. Shows key metrics for a site on a monthly basis.
Accruals—estimated costs for bills not yet received Report-20
(Estimated Accruals by Commodity)
Use to generate estimated accruals for accounting purposes when bills have not yet been received for the period.
Cost avoidance or savings from efficiency projects Report-06 or Report-08 Before running, go to Cost Avoidance → Calculate Savings to update the values. Then run Report-06 (year-over-year) or Report-08 (monthly within a year) and include cost avoidance metrics in the data displayed.
Total utility cost Report-04, Report-22, Report-11

Emissions and sustainability

Use these reports to track greenhouse gas emissions and sustainability metrics. The Emissions module is required for emissions reporting.

What do you want to see? Best report Notes
Greenhouse gas emissions by site or organization

Report-45

(Emissions by Site)

Emissions module required. Displays emissions by site or organization. This is the correct report for emissions data—not Report-03. Use a topmost place filter to limit to a specific part of your facilities tree.
Floor area for use in emissions or EUI calculations Report-03
(Setup Report)
Floor area is included in the Sites section of Report-03. Click the + icon on the buildings column group to show all site detail columns. Use Report-45 once you need to combine floor area with emissions data for EUI.

Meters and accounts

Use these reports to review and manage your meter and account configuration.

What do you want to see? Best report Notes
Full meter list with GL codes, active/inactive status, and account details Report-03
(Setup Report)
Excel only. Includes the Meter GL details section. Use the Exclude meter custom fields filter to simplify the output if custom fields are not needed.
Meter-level monthly use and cost trends Report-01 or Report-08 Set the Group by filter to Meter. Report-01 is best for comparing one meter across years. Report-08 is best for comparing multiple meters in a single year.

Tips for filtering any report

  • Topmost place—Limits results to a specific branch of your facilities tree. Use this to report on a single building, campus, or region without including your entire portfolio.
  • Topmost cost center—Limits results to a specific branch of your accounting tree. If your organization uses chargebacks, always set a topmost filter to avoid double-counting use and cost.
  • Data typeCalendarized spreads bills across true calendar months and displays both use and cost; it is especially useful for cost comparisons across financial periods. Normalized adjusts usage for weather and is best for year-over-year use comparisons where you want to remove temperature as a variable. Use Billing Period when you need exact bill start and end dates.
  • Commodity—Filter to one or more commodities (for example, Electric or Natural Gas) to focus the report on a specific energy type.
  • Account is active—Include this filter to exclude inactive accounts from most reports.
  • Site group or meter group—Use groups to report on a custom set of sites or meters that do not share a common location in the facilities tree. To include all group members, do not also set a topmost place filter.
